Job Description
The Shipping & Documentation Assistant is responsible for managing the export of products from Europe / Middle East, Turkey and Brazil to other parts of the world, as per company policies and procedures. He/she will be involved in the inland transport (point of origin to loading port) as well as the international sea freight, along with the documentation process and ensure that the shipment adheres to the customs regulations.
Process sales orders in accordance with established procedures and standards.
Working within Shipping and Logistics you will be required to ensure each shipment generates the maximum contribution to the company by keeping constant focus on meeting the required service level at the lowest possible cost.
Collect, Book, Register in SAP system and do the proper follow up on all customer claims.
Choose the carrier, vessel, route and nominate remittance for each export shipment
Job Description
Record every shipment information in the company’s ERP system, as per company policies and procedures
Instruct the carrier regarding the invoicing process and B/L issuance
Negotiate and coordinate the transportation of the containers from the point of origin till the loading port
Create the shipping documents, according to legislation requirements
Forward shipping documents to the receivers of the cargo
Track and monitor existing shipments, reporting updates, whenever necessary
Primarily, document shipments to ensure that they are in compliance with customs rules and regulations.
Counsel clients on matters like tariffs, insurance, and quotas.
Categorize shipments according to a tariff coding system.
Ensure that businesses file accurate documentation for all exported goods.
Responsible for the legalization of the documents at the embassies and chamber of commerce in Vienna and other locations.
Job Responsibilities
Education
Academic Background
A Bachelors’ degree in Business, International Trade, International Relations, Engineering or any related field.
1-3 years of export and/or shipping experience.
Desirable requirements
Good verbal and written communication skills in English;
Other languages are preferred;
Computer Skills – Office and SAP;
Excellence in Excel;
Experience with Exports and International shipping documents is required;
Strong organizational and planning skills;
Documents and files management;
Analytical profile;
Detail oriented with strong problem solving skills;
Flexible, proactive, a learner, and able to effectively work within a team;
Passionate person, with sense of urgency and responsibility;
Ability to think outside of the box and come up with create and innovative solutions and ideas;
Ability to understand how changes in conditions, operations and the environment affect the outcomes and results;
Willing to travel for short periods of time, if required;
